## Share workflows with selected books

Choose the books that can use a project type, opportunity pipeline, task template, note template, email template, SMS template, mail merge template, or custom prompt snippet. Reuse the same configuration across the books that need it.

Saved views also have **Share view** controls. Choose individual books separately from the combined **All Books** workspace.

## Assign administrative permissions individually

Choose specific permissions for company settings, users and teams, integrations, project types, exports, and other administrative work. **Manage user permissions** is separate from **Manage users and teams**.

## Manage projects through completion

Reopen a completed project from its detail menu while preserving its milestone progress and task completion states. Archive a project type to prevent new projects without removing existing ones.

Meeting-triggered milestones can optionally complete unfinished project tasks when they advance. Household project tasks can also calculate deadlines from the next meeting date.

## Customize opportunity cards

Choose and reorder the fields shown on pipeline cards, including supported fields from the linked record. Each pipeline keeps its own card settings.

## Set email and phone defaults

Choose a personal **Default sender** for new emails. Replies and forwards keep their existing sender. Label phone numbers and choose which teammates use each number by default.

Household phone conversations support multiple recipients when the connected provider supports group messaging. RingCentral also backfills available RingSense transcripts and AI call notes.

## Refine intake invitations and mappings

Save a form's default invitation email and choose its scheduling event when sending an invitation. Map driver's license fields for the head of household or spouse/partner; mapped sensitive numbers stay masked in **Accept submission**.

## Mention teams in notes

Type `@` to mention a team in a note. Notifications go to active team members who can access that book. Notes also show attachment counts in lists and cards.

## Control sequence recipients and completion

Add **Permanent BCC** recipients for future sequence enrollments. Enable **Finish on inbound call** to finish an enrollment when a new incoming call is logged after enrollment; historical imported calls do not finish it.

## Use the notetaker for one meeting

Turn off automatic joining while retaining the ability to add the notetaker to an individual meeting. Notetakers already scheduled continue as planned.

## Do more from chat

Ask chat to propose meetings and related-record links for approval. Book chat can generate Excel workbooks as conversation attachments. Type `/` to find prompt snippets, and hide system snippets you no longer use.

## Follow custodian data availability

DST FANmail status separates a working connection from arriving account and balance data. For connections with account groups, choose which groups are available to each enabled book.

## Keep inactive email history and expand API workflows

Mark an email address **Inactive** to retain its history while excluding it from primary-address selection and new-email suggestions.

Integrations can manage notes on businesses and other contacts, add or remove business tags, and retrieve people changed since a timestamp.
