Once you’ve created projects, you’ll manage them through completion—tracking progress, completing tasks, advancing milestones, and keeping everything on schedule.
View all projects
Kanban view
The default projects view shows a Kanban board:
Open Projects
Click Projects in the sidebar.
See the Kanban
Projects appear as cards organized by current milestone.
Drag to advance
Drag project cards between columns to change milestones.
Filter projects
Focus on specific projects:
Click Filter
Click Filter in the toolbar.
Add conditions
Filter by:
- Template — Project type
- Household — Specific client
- Assigned to — Team member
- Status — In progress, Completed, etc.
Apply
The view updates to show matching projects.
Search projects
Open search
Press Cmd/Ctrl + K.
Search
Type the project name or client name.
Select
Click to open the project.
Work with a project
View project details
Click the project
Select a project card in the Kanban or from search.
See the detail view
View:
- Current milestone
- Progress percentage
- Tasks for this milestone
- Household information
- Activity history
Complete tasks
Find the task
In the project detail, see tasks for the current milestone.
Mark complete
Check the task to mark it done.
Progress updates
The milestone progress percentage increases.
Add ad-hoc tasks
Need a task not in the template?
Open the project
Navigate to the project detail.
Add task
Click Add task in the tasks section.
Enter details
Create the task. It’s linked to the current milestone.
Advance milestones
Complete milestone work
Finish tasks or trigger auto-advance conditions.
Advance
Click Move to next phase or drag the card in Kanban.
New tasks appear
Task templates for the new milestone create tasks.
Project status
Status types
| Status | Meaning |
|---|
| In progress | Active, being worked on |
| Overdue | Has overdue tasks |
| Completed | All milestones done |
| Cancelled | Stopped before completion |
Change status manually
Open the project
Navigate to the project detail.
Find status
Look for the status field or actions menu.
Change
Select the new status:
- Complete — Mark as finished
- Cancel — Stop the project
Assign projects
Change assignee
Open the project
Navigate to the project detail.
Find assigned to
Look for the Assigned to field.
Select user
Choose a team member to assign.
Filter by assignee
Open Projects
Click Projects in the sidebar.
Filter by assignee
Add a filter for Assigned to = your name (or another user).
See your projects
Only projects assigned to that user appear.
Track progress
Milestone progress
Shows completion within the current milestone:
- 0% — No tasks completed
- 50% — Half of tasks done
- 100% — All tasks in milestone complete
Overall progress
Shows completion across all milestones:
- Weighted by number of tasks in each milestone
- Increases as you advance through milestones
- Reaches 100% when project completes
Identify stalled projects
Look for projects with:
- Same milestone for extended time
- Overdue tasks
- No recent activity
View project from household
See a client’s projects from their record:
Open the household
Navigate to the client or prospect.
Find Projects tab
Click Projects in the record navigation.
See linked projects
View all projects for this household.
Rename a project
Open the project
Navigate to the project detail.
Edit name
Click on the project name to edit.
Save
Enter the new name and save.
Delete a project
Open the project
Navigate to the project detail.
Delete
In the actions menu, click Delete.
Confirm
Confirm the deletion.
Deleting a project removes all associated tasks and history. Consider cancelling instead to preserve records.
Best practices
- Review weekly — Check the Kanban for stalled projects
- Update promptly — Complete tasks and advance milestones as work happens
- Use filters — Focus on your assigned projects
- Don’t ignore overdue — Address overdue tasks immediately
- Complete properly — Finish projects, don’t abandon them
