Bulk email lets you send the same message to multiple recipients at once. Each email is personalized using merge fields and sent individually through your connected email account.

When to use bulk email

  • Announcements — Firm news, policy changes, market commentary
  • Event invitations — Webinars, seminars, client events
  • Seasonal communications — Holiday greetings, tax reminders
  • One-time campaigns — Any message that goes to a group at the same time
For drip campaigns that send multiple emails over time, use sequences instead.

Send a bulk email

Select recipients

Go to Clients, Prospects, or Contacts and select who should receive the email:
  • Use filters to narrow the list
  • Check the box next to each recipient
  • Or select all with the select-all checkbox

Click Bulk email

In the selection bar at the bottom, click Bulk email.

Choose your sending address

Select the email account to send from using the From dropdown.

Configure recipients

For household recipients, configure how household roles map to email fields:
  • Head of household — Set to To, CC, or BCC
  • Spouse / partner — Set to To, CC, or BCC
Click Change roles to adjust these settings.

Compose your message

Write the email:
  • Add a subject line (supports merge fields)
  • Write the body using the rich text editor
  • Optionally apply an email template

Review

Click Review emails to preview how the email looks for each recipient. Select different recipients in the sidebar to see their personalized version.

Send or schedule

Click Send emails to deliver now, or use the schedule button to send at a later date and time.

Personalization

Merge fields

Insert dynamic content that is personalized for each recipient. Merge fields use Liquid template syntax and are replaced with actual values when the email sends. To insert a merge field:
  • Click the icon in the compose toolbar
  • Select a field from the dropdown
  • The field is inserted at the cursor position
Available merge fields include person, household, and custom field values.

AI rewrite

Use the AI rewrite feature to revise your email:
  • Click the sparkle icon in the compose toolbar
  • Describe how you want the email changed
  • Click Rewrite email to apply

Email templates

Apply a saved template to pre-fill your subject and body:
  • Click the template icon in the compose toolbar
  • Select from your saved templates
  • Edit the template content as needed

Voice dictation

Click the microphone icon to dictate your email content using voice input.

Scheduling

Send immediately

The default behavior. Emails are sent one at a time with a delay between each to protect your sender reputation.

Schedule for later

Instead of sending immediately, use the schedule button to pick a future date and time.

Cancel a bulk email

You can cancel a bulk email while it is scheduled or still sending. Navigate to the bulk email record and cancel it. Any emails that have not yet been delivered are stopped.

Emails are staggered with a 1-minute delay between each recipient. A bulk email to 100 recipients takes approximately 100 minutes to complete.

Bulk emails are sent through your connected email account. Follow your firm’s compliance policies and applicable regulations for bulk communications.
