Add vs replace

For multi-value fields (like tags), you can choose:

Add to existing

Keeps current values and adds new ones:
  • Client has tags: Annual review due, Newsletter
  • Add tag: Priority follow-up
  • Result: Annual review due, Newsletter, Priority follow-up

Replace all

Removes existing values and sets only the new ones:
  • Client has tags: Old tag 1, Old tag 2
  • Replace with: New tag
  • Result: New tag
“Replace” removes ALL existing values. Use with caution. “Add” is usually safer.

Best practices

Preview before applying

Always review:
  • How many records are selected?
  • What value will be set?
  • Is this the correct field?

Use filters wisely

Start with good filters to target the right records:
  1. Apply filters first
  2. Verify filtered results look correct
  3. Then select and update

Update in batches

For large updates, work in batches:
  • Easier to verify results
  • Simpler to undo if needed
  • Less risk of mistakes

Document significant changes

For major bulk updates:
  • Note what was changed
  • Record when and why
  • Keep for compliance if needed

Test with small groups

When unsure:
  1. Select a few records (2-3)
  2. Apply the bulk update
  3. Verify results
  4. Then do the full batch

Automating bulk updates

With workflows

Automate updates based on triggers:
  • When client AUM exceeds threshold → Update tier
  • When task overdue by 7 days → Add “Overdue” tag
  • When prospect added → Assign to on-duty advisor
See Workflows for automation options.

With imports

For complex updates, consider:
  1. Export current data
  2. Modify in spreadsheet
  3. Re-import with updates
See Importing data for import options.

Troubleshooting

Update didn’t apply

Check:
  • Did you click Apply/Confirm?
  • Did the operation complete without errors?
  • Refresh the page and check again

Wrong records updated

If you updated the wrong records:
  • Use Undo immediately if available
  • Otherwise, filter to affected records and reverse manually

Operation too slow

Large bulk updates may take time:
  • Wait for completion notification
  • Don’t navigate away during the operation
  • Contact support if it seems stuck
