Export best practices

Filter first

Don’t export more than you need:
  • Use filters to narrow results
  • Export only relevant columns
  • Reduces file size and sensitive data exposure

Verify before sharing

Review exports before sending:
  • Check data looks complete
  • Remove any unnecessary columns
  • Verify no sensitive data is exposed

Secure storage

Handle exports carefully:
  • Don’t email unencrypted
  • Store on secure drives
  • Delete when no longer needed
  • Know your retention requirements

Document exports

Track your exports:
  • What was exported
  • When and why
  • Who received it
  • When to delete

Troubleshooting

Export takes too long

For large exports:
  • Try exporting in smaller batches
  • Filter to reduce record count
  • Exports process in background for large sets

File won’t open

If the CSV won’t open correctly:
  • Try opening with text editor first
  • Check for encoding issues
  • Use “Import” function in Excel rather than double-clicking

Missing data

If exported data seems incomplete:
  • Check your filters
  • Verify you have permission to see all records
  • Some fields may only export for certain record types
