When a prospect becomes a paying customer, convert them to a client. This preserves all their data—notes, tasks, meetings, emails, and history—while giving you access to client-specific features like service tiers and review scheduling.

Convert a prospect

Open the prospect record

Navigate to the prospect you want to convert.

Click promote

Click the Promote to client button in the record header, or find it in the More menu (⋮).

Confirm the conversion

Review the confirmation dialog and click Promote to client.
The prospect is converted instantly. You’re redirected to their new client record.

What happens during conversion

When you promote a prospect to client:

What changes

After conversion, the household gains access to client-only features:
  • Service tier — Set the client’s priority level (A, B, C, or D)
  • AUM tracking — Link custodian accounts and track assets
  • Review schedule — Configure review cadence and due dates
  • Portfolio — A portfolio record is created for the new client
The prospect record no longer exists after conversion. If you need to find this household, look in your client list.

Set up the new client

After converting, configure client-specific settings:

Set the service tier

Choose an appropriate tier (A, B, C, or D) based on the client’s priority level.

Configure review cadence

Set how often you’ll meet for formal reviews (monthly, quarterly, semiannual, annual).

Link custodian accounts

If you have custodian data, link their accounts for automatic AUM tracking.

Update any tasks

Review existing tasks and update as needed for client-level follow-up.

Convert in bulk

You can convert multiple prospects at once:

Open the prospect list

Go to Prospects in the sidebar.

Select prospects

Check the boxes next to the prospects you want to convert.

Use bulk actions

Click Bulk actions in the toolbar and select Promote to client.

Confirm

Review the list and confirm the bulk conversion.

Demoting a client to prospect

If you need to reverse the conversion—for example, if a client leaves your practice but you want to maintain the relationship—you can demote them back to prospect status:

Open the client record

Navigate to the client you want to demote.

Click demote

In the More menu (⋮), select Demote to prospect.

Confirm

Review the warning and confirm.
Demoting a client clears their service tier, review schedule, and AUM data. This data cannot be recovered if you later promote them back to client status.

FAQ

Yes, you can demote a client back to prospect status. However, client-specific data (tier, review schedule, AUM) will be cleared and cannot be recovered.
Opportunities linked to the prospect remain in your pipeline. You can close them as won or update them as needed.
Active email sequences continue unless you manually remove the household. Consider whether your prospect nurture sequences are still appropriate for an active client.
