When a team member leaves, their notes remain attached to client records.

Best practices

Write notes immediately

Document conversations right after they happen:
  • Details are fresh
  • Nothing gets forgotten
  • Creates a reliable record

Be specific and factual

Good notes are:
  • Specific — Names, dates, amounts, decisions
  • Factual — What was said, not interpretations
  • Actionable — Clear next steps when applicable

Use templates

For repetitive note types, use templates:
  • Meeting summaries
  • Phone call logs
  • Review checklists
See Note templates for setup.

Keep notes professional

Remember that notes may be:
  • Seen by other team members
  • Referenced years later
  • Potentially discoverable in legal situations
Write notes you’d be comfortable sharing with the client.
